Values that Drive J.P. Schwartz, Inc.

I often write or edit content for J.P. Schwartz, Inc., it is part of my job.  For me, it is one of the more enjoyable pieces of my job, and believe me, there are many pieces.  Usually the content revolves around technical topics, the latest technologies, or programs our company offers to help businesses meet their IT goals and of course, that is as it should be, seeing as how we are an I.T. Services company.

However today, I am reflecting on this company I work for, where we have come from in just over 5 years and where we are going.

I have been a part of the J.P. Schwartz, Inc. team for four and a half years now; it doesn’t seem quite that long most days.  Before I was interviewed for the Office Manager position I familiarized myself with J.P. Schwartz’s website (by the way, speaking from the HR piece of my job, this is something I highly suggest you do when going for an interview).  One statement stood out for me, a quote on the site, from the owner of the company, John Schwartz, that stated, “If it’s worth doing it’s worth doing right.”  I knew then that I would probably be a great fit for this company and that if the owner had any good sense he would offer me the position.  Well, he does (have good sense) and he did (offer me the job).

From early on, becoming a part of this small company made me feel like I was part of something important.  One big contributor to this attitude was that John had vision but more than that he had reason.   He had a reason for why he started his own I.T. company even though he already had a good paying, stable job.  He had a reason for the things he said and did.  He gave much thought to where he felt the company should go, what kind of service we should be providing, what the big picture would look like.  In all these conversations we would have, I would see integrity, honesty, and true concern to make I.T. in our client’s businesses’ a less painful chore to deal with.

In the time I have been with J.P. Schwartz, Inc. there have been growing pains as we searched to find our niche’.  My roles personally have shifted more times that I can count, and even my title has changed, but one thing has stayed the same, it has always been about reducing the stress and problems of I.T. issues in the businesses we provide service to.

Our most recent service offering is providing a full service, robust, all inclusive Backup and Restore solution.  Being able to bring this offering to our clients was no small task; it involved significant investment, months of training and testing, and of course a lot of time (our most valuable resource).  Honestly, there were days I wished this wasn’t the road we had chosen for J.P. Data Restore Success Story

This morning we had a request to restore some missing files.  The request was rather vague, we were looking for some budget files of unknown name or location that may have been deleted from an ex employees folder on the server some time before or after their termination in June, 3 months ago.  Using our Managed Data Protection service we were able to simply restore all files that had been deleted from that directory this year to an alternate location so that they could be searched.  The restore selection process took about 5 minutes, we then restored about 12,000 files for a total of 6.5 GB.  The restore speed was limited by the location we restored to, but even so, the total run time was about 1 hour 20 minutes.  We were then able to easily search the data for the files we were looking for.  We did find the missing budget files, and some other potentially useful information.

The reason that this is such a huge success is that this sort of a restore would have been very difficult to accomplish using the previous tape backup solution.  Yes, we could have restored files.  What we would have had to do was restore all files, not just the deleted files, making the search process considerably more difficult.  We would have also been required to mount every backup tape that we had over the last year to pull off files, since we had no idea when the file was actually deleted.  Since we did not know what we were looking for, this would have been a restore project that would have taken 2 or 3 days, as opposed to a restore and location of the data that was finished in under an hour of labor.

I have to say, that our Managed Data Protection service scored a big win today in my book.

I have just returned from the Asigra Cloud Backup Partner Summit 2011 in Toronto.  In addition to the 2 day summit, I spent 2 days in training for the new version 11 release.  Robert Flower and I represented J.P. Schwartz, Inc., along with our customers interests at the Summit.  In addition to providing feedback, features we are looking for, and issues facing our customers, we were able to get a large number of takeaways from the week that I will be passing on to you.  Attending the Asigra Cloud Backup Partner  Summit and Training further cemented our position as backup experts.

Our first takeaway from the Asigra Cloud Backup Partner Summit is a new focus on how we will be building our business and deliverables around customer needs.  There are a few changes in the industry and ways of thinking about backups that as President of J.P. Schwartz I felt were well stated.  We are in the business of restores, not backups.  Ultimately this is what you as a customer care about, getting your data back when you need it, without losses, and in an agreed upon time frame.  We are rolling out a regular testing and validation schedule as part of our standard service.  During that time, we will not only be testing to see if the restore works, but how quickly it is completed.

Second, we are also considering the increased complexity of computer environments.  No longer is the data that an organization owns located on their servers.  Sure, it is still there, but it is also on desktops, smart phones, partners systems, contractors computers, home systems, and in the public space.  Organizations need a complete backup strategy that allow them to use their data and share it in many ways, but still have protection.  We are looking to provide this full solution, so that you can make business decisions without worrying about if the new product, software, or location can be protected.

Third, Asigra did a new release of the product which we learned the details of while at the Asigra Cloud Backup Partner Summit.  There are lots of whistles and bells.  Of course there is a new consumer agent that support smart phones, iPad’s, and tablets.  There’s also a long list of back end improvements that make the services we provide faster, which is good, because there is more and more data out there every day.  There are also improvements in the flexibility for how we are able to protect items, more integrations with hardware, better security, and better testing methods for verifying your data will restore properly.  In short, they have taken the leading cloud based backup solution and raised the bar a few notches.

The Asigra Cloud Backup Partner Summit was a lot of fun, 4 long days, about 200 people, including Gartner, Forrester, IBM, Symantec, Asigra, and of course yours truly.  For a Managed Data Protection service provider like J.P. Facebook at Work?

Do you allow social networking in the work place?  Most businesses have employees that are using Facebook, Twitter, LinkedIn and other social network sites during the work day.  And many employers feel that as long as the productivity is not affected that this is an okay practice.  After all social networking has been referred to as the “Virtual Water cooler” and it can help people feel still connected even behind their desk or in their cubicle.  In fact, according to a study done by  AT&T on social networking in the workplace, employees show an increase in productivity and efficiency; feeling that they are able to access a wide and rich source of information on social networks that often provides them with solutions to problems and inspires creativity.  But there are greater risks than a little lost productivity if your employees are on these sites at work.

Security Risks come with using a social networking site.  A site like Facebook can expose your computers to greater risk of virus infection, specifically when users click on links and certain apps. Koobface is a term used to classify a computer “worm” that targets users of Facebook ultimately directing the unassuming user onto contaminated websites.   Other links, if opened will allow a Trojan virus to infect the computer.  Another risk is the data and proprietary information stored on the business computers that can be accessed or hacked into via social networking sites.

Consumer reports found that one third of U.S. households had experienced a malicious software infection in the past year causing about 1.3 million PC’s needing to be replaced.   If households are being affected at such a large rate, your business could also be affected if you don’t take the proper precautions.  Of course, nothing will completely wipe out the treat except completely blocking access to social networking sites.

If you choose to not block social networking sites in the workplace then making sure you have a firewall in place, having an appropriate ant-virus program, and making sure you have adequate backups in place are all steps you can take to secure your business network and protect it from being brought down by someone’s Facebook “friend”.  Of course education is key as well, have your I.T. personnel, or a local I.T. company such as J.P. Schwartz, Inc. do a training session with your employees on the risks and what is “safe” and unsafe practices when using social networking sites.

Recently Sony  had a security breach of their Playstation 3 network in which approximately 77 million accounts were compromised.  Their official statement can be found at: http://us.playstation.com/news/consumeralerts/#us As you can note, personal information including name, date of birth, email address, passwords, and security questions were all compromised.  This is a huge problem for anyone with a Playstation account and anyone with concerns about identity theft.  That means all or most of us.  If you are like me, and don’t have a Playstation account, this is still a very real problem, because the issues are bigger than just the Sony Playstation security breach.

So what do we do about it?  If you have a Sony account, look into getting a replacement credit card issued right away with a new number.  Treat this the same as if you lost your card while on vacation.  Even if you don’t have a Sony account, think about all the online passwords you have, most people use the same password over and over again.  That means, google, facebook, amazon, insurance, work computers, home computers, banking, insurance, phone, automatic bill payments, and whatever else you do online.  If that list happened to include Sony, someone now has your password, email address, and security questions for all of the above services.  Furthermore, any time there is a security problem with any one of those services, they are all at risk.  Even a good password does not matter in this case, since they simply have a copy of it, no guessing or brute force attack is required.  As a best practice, use separate passwords for your digital activities.

For now, you can use a password manager http://en.wikipedia.org/wiki/Password_manager to keep track of all these passwords.  You will be safer for it.  In the future, I would hope that most companies would start supporting two-factor authentication  http://en.wikipedia.org/wiki/Two_factor_authentication where for example, you would need an encrypted USB key AND your password to gain access.  This way if the key is stolen, it is useless without the password, and if your password becomes known, they also have to steal your key for it to be of any use.  The technology is proven and has been for years, but industry has not felt pressure to implement it yet.  For this to be practical, there would be a few companies that provide certified keys that could be used with many vendors much like SSL certificates are issued today.  Yes, this is a bit costly compared to simple passwords, but so is a security breach like the one Sony and Playstation had, and so is identity theft.  In the mean time, you may be stuck with using a service that helps monitor your credit or accounts and can assist with resolving issues.  Sort of a monitoring and insurance policy rolled into one.  There are many of these services, and a quick search will locate them.

At one time, it was very common for a company to use your social security number as a means of identification.  Due to public pressure and some regulations, this practice is now almost something of the past.  There also needs to be an end of the practice of companies like Sony collecting information like your date of birth or home address.  Sony simply does not need this information to provide their service.  Pressure for better security in online transactions starts with us.

As a business owner of an IT Services company I like to take pride in the work we do.  This company was started with the idea that we would do things right, that we would provide great service, and provide a good place to work for our employees.  As with all businesses, we have great days, and some days that are difficult.  I do feel very good about our business, I am excited about the future, and I take pride in the work we do.

One area that has caused me great stress and anxiety in the past has been backups of our customer data.  As a consulting company, we would often setup a backup then turn it over to our customer for management.  At other times we would be asked to perform service on a system that they had set up themselves, or that the previous IT staff had installed.  Many times, this would be a popular software program that we knew well, but sometimes it was not.  In some cases the solution was sort of a fit for the customer, or it was a compromise between what they really needed, and what they had in the budget.  The stress and anxiety for me, came when data was lost, or a system crashed.  Even if the system had been tested recently, we still don’t really know that the backup was good until the restore was completed and all the data was verified to be on the system.

We decided the solution was to find one product that we could install and manage as a service for our customers.  We wanted to take this approach since an online service would guarantee the data was safely offsite, we could truly become experts in one product, and we could be responsible for configuration, patching, verification that jobs ran regularly, and know that the backups were set up in a way that made sense for the customer.  We chose Asigra, since they have a wonderful solution on the tech side, and they have 25 years experience in the online backup industry.  Those who are counting, that’s right, they started with modem banks and backups to bulletin boards on 300 bps lines, 25 years is really pre mainstream internet.

Unfortunately, I found my stress and anxiety getting a bit worse as we went through the evaluations, training, data center selection, and test clients.  The product worked exactly as we hoped, but now there was additional stress of having a contractual obligation to ensure backups and restores are completed properly.  In the past, doing hourly consulting had a lot of problems, but it was a best effort approach.  Our agreement with the customer was we will provide a professional tech to help with your backup for an hourly rate.  Now it really is our product, and our responsibility to provide the service.

Fortunately, now that we have a number of clients on the system in production, a few test and real restores behind us, and a good bit of time with the product,  I feel much better.  Oddly, the key to it all is the reporting and alerts we get from the backup jobs, and our datacenter.

Every day, the first thing I do in the morning is check all the reports on our backup customers.  I can tell exactly what jobs were supposed to have run, what the completion status is, if there were any errors, and if any corrections to the system needs to be made.  This has become a daily ritual that I look forward to.  Not just because our service says we are contracted to review the system status, but because I can start every day knowing that the data is safe, and whatever happens the rest of the day, we have a good recent backup that is just a few clicks away if it is needed.  Yes it is a great product for our customers, but personally, our Managed Data Protection service has not only relieved some of my stress but also has turned  into a part of my job I really look forward to.

Our Denver Asigra Parnter staff manages and performs all installation, backups, maintenance, reporting, and recovery as part of the service.  Your staff is only involved in the data selection process or when placing requests to have data restored.  There are no requirements for training or daily activities on your part.  If there is ever an issue with missed backups, errors, or other issues, we will notify you and schedule the needed work at your convenience as part of our service.

We can protect Microsoft, Macintosh, Linux, Novell, Unix, open files, operating systems, applications, databases, and email.  By default, we protect everything on a server, and the My Documents folders, Microsoft office files, PST email files, and special applications on selected desktops.

We can do one time backups, scheduled backups, and continuous data protection.  Our default is to backup once every 4 hours.  This ensures that systems like servers always have a recent backup, and that systems like desktops that turn on and off do not get missed at night.

2 most recent versions

1 per day for a week

1 per week for 3 months

Our default is to keep the 2 most recent version of your data both offsite and onsite for fast restores.  This works well because usually the most recent version of a file is what is requested for restore.  This means it is very unlikely you will need to wait to download your information.  This means that missing file requests can be restored in a few minutes.  For a disaster situation, the other 2 main factors for fast recovery is availability of hardware to restore to, and how much of a system must be rebuilt vs restored.  It is always faster and more reliable to simply restore rather than rebuild, but in order to skip a rebuild, the entire system must be backed up rather than just the data files.  This is our default on servers, but not desktops.

Testing and Reporting on MDP as a Denver Asigra Partner

Both are done daily.  Our system automatically verifies files are not corrupted on a daily basis.  Additional verification or test restores are available upon request.  Every day, you will receive a report showing each of your backups, the date it last completed, and a count of any errors.  If there are errors, or a backup has not run within an agreed upon timeframe, a technician will automatically contact you.
