I have just returned from the Asigra Cloud Backup Partner Summit 2011 in Toronto.  In addition to the 2 day summit, I spent 2 days in training for the new version 11 release.  Robert Flower and I represented J.P. Schwartz, Inc., along with our customers interests at the Summit.  In addition to providing feedback, features we are looking for, and issues facing our customers, we were able to get a large number of takeaways from the week that I will be passing on to you.  Attending the Asigra Cloud Backup Partner  Summit and Training further cemented our position as backup experts.

Our first takeaway from the Asigra Cloud Backup Partner Summit is a new focus on how we will be building our business and deliverables around customer needs.  There are a few changes in the industry and ways of thinking about backups that as President of J.P. Schwartz I felt were well stated.  We are in the business of restores, not backups.  Ultimately this is what you as a customer care about, getting your data back when you need it, without losses, and in an agreed upon time frame.  We are rolling out a regular testing and validation schedule as part of our standard service.  During that time, we will not only be testing to see if the restore works, but how quickly it is completed.

Second, we are also considering the increased complexity of computer environments.  No longer is the data that an organization owns located on their servers.  Sure, it is still there, but it is also on desktops, smart phones, partners systems, contractors computers, home systems, and in the public space.  Organizations need a complete backup strategy that allow them to use their data and share it in many ways, but still have protection.  We are looking to provide this full solution, so that you can make business decisions without worrying about if the new product, software, or location can be protected.

Third, Asigra did a new release of the product which we learned the details of while at the Asigra Cloud Backup Partner Summit.  There are lots of whistles and bells.  Of course there is a new consumer agent that support smart phones, iPad’s, and tablets.  There’s also a long list of back end improvements that make the services we provide faster, which is good, because there is more and more data out there every day.  There are also improvements in the flexibility for how we are able to protect items, more integrations with hardware, better security, and better testing methods for verifying your data will restore properly.  In short, they have taken the leading cloud based backup solution and raised the bar a few notches.

The Asigra Cloud Backup Partner Summit was a lot of fun, 4 long days, about 200 people, including Gartner, Forrester, IBM, Symantec, Asigra, and of course yours truly.  For a Managed Data Protection service provider like J.P. Do you allow social networking in the work place?  Most businesses have employees that are using Facebook, Twitter, LinkedIn and other social network sites during the work day.  And many employers feel that as long as the productivity is not affected that this is an okay practice.  After all social networking has been referred to as the “Virtual Water cooler” and it can help people feel still connected even behind their desk or in their cubicle.  In fact, according to a study done by  AT&T on social networking in the workplace, employees show an increase in productivity and efficiency; feeling that they are able to access a wide and rich source of information on social networks that often provides them with solutions to problems and inspires creativity.  But there are greater risks than a little lost productivity if your employees are on these sites at work.

Security Risks come with using a social networking site.  A site like Facebook can expose your computers to greater risk of virus infection, specifically when users click on links and certain apps. Koobface is a term used to classify a computer “worm” that targets users of Facebook ultimately directing the unassuming user onto contaminated websites.   Other links, if opened will allow a Trojan virus to infect the computer.  Another risk is the data and proprietary information stored on the business computers that can be accessed or hacked into via social networking sites.

Consumer reports found that one third of U.S. households had experienced a malicious software infection in the past year causing about 1.3 million PC’s needing to be replaced.   If households are being affected at such a large rate, your business could also be affected if you don’t take the proper precautions.  Of course, nothing will completely wipe out the treat except completely blocking access to social networking sites.

If you choose to not block social networking sites in the workplace then making sure you have a firewall in place, having an appropriate ant-virus program, and making sure you have adequate backups in place are all steps you can take to secure your business network and protect it from being brought down by someone’s Facebook “friend”.  Of course education is key as well, have your I.T. personnel, or a local I.T. company such as J.P. As a business owner of an IT Services company I like to take pride in the work we do.  This company was started with the idea that we would do things right, that we would provide great service, and provide a good place to work for our employees.  As with all businesses, we have great days, and some days that are difficult.  I do feel very good about our business, I am excited about the future, and I take pride in the work we do.

One area that has caused me great stress and anxiety in the past has been backups of our customer data.  As a consulting company, we would often setup a backup then turn it over to our customer for management.  At other times we would be asked to perform service on a system that they had set up themselves, or that the previous IT staff had installed.  Many times, this would be a popular software program that we knew well, but sometimes it was not.  In some cases the solution was sort of a fit for the customer, or it was a compromise between what they really needed, and what they had in the budget.  The stress and anxiety for me, came when data was lost, or a system crashed.  Even if the system had been tested recently, we still don’t really know that the backup was good until the restore was completed and all the data was verified to be on the system.

We decided the solution was to find one product that we could install and manage as a service for our customers.  We wanted to take this approach since an online service would guarantee the data was safely offsite, we could truly become experts in one product, and we could be responsible for configuration, patching, verification that jobs ran regularly, and know that the backups were set up in a way that made sense for the customer.  We chose Asigra, since they have a wonderful solution on the tech side, and they have 25 years experience in the online backup industry.  Those who are counting, that’s right, they started with modem banks and backups to bulletin boards on 300 bps lines, 25 years is really pre mainstream internet.

Unfortunately, I found my stress and anxiety getting a bit worse as we went through the evaluations, training, data center selection, and test clients.  The product worked exactly as we hoped, but now there was additional stress of having a contractual obligation to ensure backups and restores are completed properly.  In the past, doing hourly consulting had a lot of problems, but it was a best effort approach.  Our agreement with the customer was we will provide a professional tech to help with your backup for an hourly rate.  Now it really is our product, and our responsibility to provide the service.

Fortunately, now that we have a number of clients on the system in production, a few test and real restores behind us, and a good bit of time with the product,  I feel much better.  Oddly, the key to it all is the reporting and alerts we get from the backup jobs, and our datacenter.

Every day, the first thing I do in the morning is check all the reports on our backup customers.  I can tell exactly what jobs were supposed to have run, what the completion status is, if there were any errors, and if any corrections to the system needs to be made.  This has become a daily ritual that I look forward to.  Not just because our service says we are contracted to review the system status, but because I can start every day knowing that the data is safe, and whatever happens the rest of the day, we have a good recent backup that is just a few clicks away if it is needed.  Yes it is a great product for our customers, but personally, our Managed Data Protection service has not only relieved some of my stress but also has turned  into a part of my job I really look forward to.

Our default is to keep the 2 most recent version of your data both offsite and onsite for fast restores.  This works well because usually the most recent version of a file is what is requested for restore.  This means it is very unlikely you will need to wait to download your information.  This means that missing file requests can be restored in a few minutes.  For a disaster situation, the other 2 main factors for fast recovery is availability of hardware to restore to, and how much of a system must be rebuilt vs restored.  It is always faster and more reliable to simply restore rather than rebuild, but in order to skip a rebuild, the entire system must be backed up rather than just the data files.  This is our default on servers, but not desktops.

Both are done daily.  Our system automatically verifies files are not corrupted on a daily basis.  Additional verification or test restores are available upon request.  Every day, you will receive a report showing each of your backups, the date it last completed, and a count of any errors.  If there are errors, or a backup has not run within an agreed upon timeframe, a technician will automatically contact you.
